POSITION SUMMARY

The Maintenance Coordinator is responsible for managing the inventory of maintenance parts and supplies, coordinating preventive maintenance schedules, and maintaining accurate records of maintenance activities. This role ensures that all equipment and machinery in the facility are well-maintained to minimize downtime and enhance operational efficiency. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Plan and coordinate preventive maintenance (PM) schedules for all plant equipment to ensure timely completion and compliance.
  • Develop and maintain weekly and daily maintenance plans by prioritizing work orders, aligning labor resources, and coordinating schedules with operations to minimize production disruptions.
  • Support maintenance planning by reviewing backlog, assigning priorities, and ensuring work orders are properly scoped and ready for execution.
  • Track and manage maintenance inventory levels, including parts, tools, and supplies, to ensure availability and prevent shortages or overstocking.
  • Receive incoming parts and materials, verify accuracy against orders, and update inventory records within the CMMS system.
  • Serve as the primary point of contact for parts and inventory coordination, ensuring technicians have the necessary materials to complete work orders and PM tasks.
  • Maintain organization and layout of the parts room, including proper labeling, storage, and housekeeping standards.
  • Monitor and update maintenance records, including work orders, PM completion, equipment history, and parts usage in the CMMS system.
  • Generate and distribute reports on maintenance performance metrics, inventory status, PM compliance, and schedule adherence.
  • Coordinate with external vendors and suppliers to track deliveries, follow up on orders, and resolve discrepancies or supply issues.
  • Assist in developing maintenance schedules, tracking labor utilization, and supporting cost control initiatives.
  • Identify opportunities for process improvements in maintenance planning, scheduling, and inventory management.
  • Support audits, inspections, and compliance activities related to maintenance documentation and equipment readiness.
  • Participate in cross-functional communication to ensure alignment between maintenance, production, and leadership teams.
  • Perform general storeroom housekeeping and ensure a safe and organized work environment.
  • Work on special projects as needed.
  • Other duties as assigned.

                             

QUALIFICATIONS (Knowledge, Skills, and Experience)

  • A high school diploma, associate degree, or technical certification in maintenance or a related field preferred.
  • Minimum of 2 year of experience in a maintenance planning, coordinator, or inventory management, preferably in a maintenance or manufacturing environment.
  • Working knowledge of a preventative maintenance programs, maintenance planning,  and scheduling procedures.
  • Familiarity in using maintenance management and inventory management software.
  • Strong organizational, planning and time management skills with the ability to manage multiple priorities.
  • High attention to detail and accuracy in data entry and recordkeeping.
  • Effective communication skills with the ability to coordinate across departments and with external vendors
  • Knowledge of Microsoft Office Products including Word, Excel and Outlook.
  • Ability to read, write and communicate in English with strong verbal communication skills. Knowledge of Spanish is helpful, but not required.

PHYSICAL DEMANDS AND WORK ENVIRONMENT

While performing the duties of this position, the employee is required to perform physical activities that involve moving one’s whole body, such as crawling, squatting, kneeling, turning, twisting, using both hands, reaching, and stretching to perform necessary repairs and installations and lifting from 70 pounds or more (unassisted). May frequently need to bend, stoop, crouch, or climb to access machinery or equipment located at different heights or in confined spaces. The employee must be able to walk and stand for a significant amount of time on even concrete surfaces, which may at times be slippery due to marinades, water, and other liquids associated with the production process.

Due to noise levels in the work environment, the use of hearing protection is required.  Precise vision is required for this position to perform detailed visual inspections and repairs of equipment and machinery, and to identify electrical color codes or safety labels. The employee will be working in a climate-controlled environment of -40ºF to -45ºF and may be exposed to heat working around hot machinery or ovens. Employee may be exposed to strong odors such as raw meat and marinades from seasoned meat.

While in the production area, employee is required to wear Personal Protective Equipment (PPE) to include hair and beard nets, rubber soled shoes, smocks, hearing protection and hard hats.
