ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Provide daily support for the Department Chair, Faculty, and students in day-to-day activities and with requests, as needed.
Assist the Department Chair with oversight of department spending as it relates to ordering supplies and materials.
Prepare purchase requests for laboratory equipment and supplies, with detailed accuracy to ensure proper guidelines are followed.
Coordinate department events, prepare reports and manage databases (electronic storage and paper filing systems) concerning the department, programs, and personnel files.
Assist with coordinating meetings for the department, as needed, and accurately recording and distributing meeting minutes.
Assist with coordinating and staffing department-related events and projects, as well as events and projects for the School of Health Sciences.
Manage files for employees, services, and degree programs.
Oversee College for a Weekend and Experience LU, working with the department chair, program directors, and faculty.
Coordinate professional development and business travel arrangements for the Department Chair and faculty.
Assist the Department Chair and Program Directors as hiring liaison for faculty, teaching fellows, and graduate student assistants.
Act as hiring liaison for student workers and manage their departmental onboarding, training, and overall performance.
Coordinate prospective student visits with faculty.
Aid visitors and outside contacts via email, phone, and face-to-face communication.
Assist with all other duties as assigned by the Department Chair.
SUPERVISORY RESPONSIBILITIES
Responsible for assisting the department chair and faculty with supervising student worker onboarding and assigning tasks for student worker office assistants. Responsible for overseeing student worker time.
QUALIFICATIONS AND CREDENTIALS
Minimum Qualifications:
BS, BA, or AA degree
Previous administrative assistant or office management experience in higher education or corporate environment.
Proficient using Microsoft Office Suite (Word, PowerPoint, Excel, Teams), Outlook, and Windows Operating System.
Experience supporting a large team while balancing multiple requests and competing priorities.
Excellent customer service with strong written and verbal communication skills.
Strong attention to detail and highly organized, with the ability to quickly understand the big picture.
Preferred Qualifications:
BS, BA, or AA degree in Office Management, Project Management, Communications, or related field preferred, with 1 – 2 years of relevant work experience.
Prior experience in an administrative assistant role at Liberty University and comfortable using BuyLU and Infor.
Demonstrate competency with Banner.
Experience using blackboard and canvas, is a plus but not required.

Candidate must be articulate and professional in all verbal and written communication. Must possess the ability to interact courteously and kindly with others. Must be comfortable answering phones, calling vendors, asking questions, and assisting with the coordination of events. The ideal candidate will have good problem-solving skills with the ability to think critically.

Compensation is determined based on factors such as qualifications, experience, education, skills, and certifications, along with University needs and external market conditions. Market benchmarks may be used, as appropriate, in combination with internal equity to ensure pay is fair and aligned with the broader compensation structure.
